This policy describes what data ProAIE collects, why, how we protect it, and the choices you have. It applies to proaie.com and every campaign source we connect on your behalf.
1. Who we are
ProAIE is a campaign reporting platform. Businesses ("tenants") sign in to connect the ad platforms, calendars, and payment processors they already use (GoHighLevel, Meta Ads, Google Ads, TikTok Ads, LinkedIn Ads, Stripe, CardPointe) and produce reports on top of that data. This policy covers our platform; the third-party services have their own privacy policies which continue to govern the data those services hold.
2. What we collect
Account data. Your name, email address, and profile picture provided by Google when you sign in. We use your email as your account identifier and for service-related notifications only.
Tenant data. Business name, billing address, and payment method you supply (payment methods are stored by Stripe on our behalf; ProAIE does not see or store your full card number).
Third-party integration credentials. When you connect
a service (a GoHighLevel Private Integration Token, a Meta Ads OAuth
grant, etc.), we store the resulting access token encrypted at rest so
ProAIE can call that service on your behalf during a report or automation
run. We only request the minimum scopes each connector needs — for
example, the Meta Ads connector requests read-only ads_read
and business_management and never write access to your
campaigns.
Business data pulled through integrations. When a tenant runs a report or an automation, ProAIE fetches the relevant data from the connected services (calendar appointments, campaign spend, invoice status, etc.) and uses it to render the report or execute the automation. Fetched data is stored on our servers only to the extent needed to generate the artifact you asked for (generated HTML/PDF reports, run logs). We do not use tenant business data for any other purpose.
Operational logs. Standard server access logs (IP address, user agent, request path, timestamp) and application audit logs of significant actions on the platform. We keep these to investigate security incidents and support requests.
3. How we use it
- To deliver the service you configured. Signing you in, running the reports and automations you set up, showing you the results, and letting you download or export them.
- To bill you. Stripe processes payments on our behalf using the payment method you save; we retain invoice history to answer billing questions.
- To operate and secure the platform. Detecting abuse, diagnosing bugs, responding to your support requests.
- To communicate with you. Transactional emails (invoice delivery, scheduled report emails you configured, password-reset-style flows). We do not send marketing email; there is nothing to unsubscribe from.
We do not sell your data. We do not use your data to train machine learning models. We do not build advertising profiles from your data.
4. Who we share it with
ProAIE shares data only with the parties needed to deliver the service you configured:
- The third-party services you connected. GoHighLevel, Meta Ads, Google Ads, TikTok Ads, LinkedIn Ads, Stripe, CardPointe — the whole reason those sources exist is to move data between them and ProAIE. Each has their own privacy policy.
- Stripe. For payment processing and invoice hosting.
- Twilio. For transactional email delivery.
- Google. For sign-in authentication.
- Hosting infrastructure. Our servers run on commercial hosting — data at rest is stored on their disks in encrypted form and transits their network under TLS.
- Legal requirements. If we receive a valid legal request (subpoena, court order) we may be required to disclose data covered by the request. We will push back on overbroad requests where we reasonably can.
5. How we protect it
All connections to ProAIE use TLS. Third-party access tokens and other secrets are encrypted at rest with Fernet (AES-128-CBC + HMAC- SHA256). Payment methods are stored by Stripe using their own PCI-DSS-certified vault; we never see your full card number. Access to production systems is limited to ProAIE personnel who need it, logged, and revoked when no longer needed.
6. Data retention
We keep the data described in Section 2 for as long as your account is active. If you close your account we retain the minimum record needed for our own tax, audit, and legal obligations (typically invoices for the retention period our tax jurisdiction requires), and delete or anonymize the rest within a reasonable timeframe. If you disconnect a specific integration, its stored credentials are deleted from our systems immediately.
7. Your choices and rights
- Access. Sign in to see and export the data associated with your account and tenants.
- Correction. Update your name, billing details, and integration configuration in the app.
- Deletion. Ask us to close your account and delete the data associated with it — email sales@proaie.com. We will do this subject to the retention exceptions in Section 6.
- Disconnect integrations. You can disconnect any integration at any time from the app; its access token is deleted from our systems immediately and we can no longer call that service on your behalf.
If you are in a jurisdiction that grants additional privacy rights (EU/UK GDPR, California CCPA/CPRA, and similar), those rights apply to you and you can exercise them via the same email address above.
8. Cookies and similar technologies
ProAIE uses a small number of first-party cookies to keep you signed in, to remember short-lived state during flows like OAuth sign-in and payment method setup, and to remember temporary UI notices between page loads. All are HTTP-only and Secure (only sent over HTTPS). We do not use third-party advertising or analytics cookies.
9. International transfers
Our hosting and third-party service providers may process data in countries other than the one where you live. Where required, we rely on the standard contractual clauses those services publish and on the safeguards they provide as part of their own compliance programs.
10. Children
ProAIE is a business-to-business product and is not directed at children under 16. We do not knowingly collect data from anyone under that age.
11. Changes to this policy
If we make material changes we will announce them in-app and update the "Last updated" date at the top of this page. Continuing to use ProAIE after an update means you accept the revised policy.
